JOB PURPOSE:   The Administrative Assistant I is responsible for performing a variety of secretarial and clerical duties for the Alamance Soil and Water Conservation District (SWCD), including maintaining records and files, performing telephone and receptionist duties, scheduling appointments and producing meetings notes.

RESPONSIBILITIES:

Responsibilities may include, but are not limited to the following:

  • Will serve as the receptionist for the SWDC office. Answering phone calls and greeting the general public in a courteous, prompt and professional manner while providing information to general public for activities related to the SWCD district, state cost share programs and federal programs.
  • Will prepare meeting notices and be responsible for taking meeting minutes as needed at all required meetings including all SWDC Board Meetings.
  • Responsible for entering information into systems used, processing bulk mailing and other tasks as needed or assigned.
  • Providing assistance with preparation, editing and publishing of news releases, district newsletters, articles and other publications.
  • Will assist staff by preparing and submitting travel reimbursement requests, answering or researching questions as requested.
  • Within this role the Administrative Assistant will have responsibilities to work outdoors and in partnership with the local schools, civic clubs and groups for fairs, workshops and other District-sponsored programs and events. Events may occur during inclement weather and may take place during non-traditional hours.
  • Position may require occasional travel to conferences and workshops, including daytime and evening meetings away from the District's office. Occasionally, travel may be outside the normal workday and overnight.
  • Maintains office supplies in sufficient quantities for efficient District operations along with maintaining inventory of equipment and supplies for proper documentation purposes.
  • Within this role the expectation is the Administrative Assistant will perform all duties above and others as assigned and trained in a prudent and sensible manner, following established District and County policies and procedures.

SKILLS & ABILITIES:

Education & Experience:  Associate's degree with two or more years of secretarial or office style experience preferred OR a high school diploma or equivalent with five or more years of progressive secretarial or office experience required.  

Computer Skills:  Prior experience with Microsoft Windows, Proficient in typing accurately and fast paced. 

License/Credentials: Possession of a valid NC driver's license.
